Final Reflection
This class was very useful to incorporate the techniques into my place of employment. The type of work I do requires a lot of communication not only through email but memos as well. Before taking this class I did not know how to create a proper memo much less an adjustment letter. One thing the memo letter helped me in was being able to send brief memos to my co-workers and get the message across without having them come back with questions like before.
The goal of analyzing and applying ethical responsibilities was also helpful to my job being that I deal with low-income families and diverse cultures. So this class has helped me understand and better improve my communication with these families. So this also helps in the goal of communicating effectively with diverse audiences as mentioned above that is the majority of our clients. I have also developed useful documents to be used within the agency.
In creating each item for the portfolio it seemed harder as the semester progressed. Because I had never done any of the items required it was hard to start from scratch. It may heave been better if I already used these tools. My weaknesses are not being able to say what is on my mind, I hold back a lot, my greatest strength is that I love working with people and meeting new people so that helps me communicate better, which I think I was able to do in this class to an extent.
The easiest assignment and the one I am most proud of is my resume. That really shows my hard work throughout the years as well as my accomplishments. The most difficult assignment and the one I am least proud of is my proposal because I feel we were cheated out of participation. We did participate but others went behind and changed what had been said and that was unfair. I think more time could have been spent on it and maybe more interaction between the group. This was difficult as well as challenging. The most challenging assignment and the one I learned the most from was the adjustment letter because again I had never written one of those and may very well be helpful in the future if the time arises. It was challenging because I was unsure of what words could be placed on the letter.
I feel this class was extremely hard, not the material but my health was not good and that made it hard for me to keep up. I really did feel like I was always behind, even though I turned in everything. I think my writing and communication skills have improved tremendously since I began this class. I again feel that my biggest accomplishment in the portfolio is my resume and cover letter. The resume stated my accomplishments and hard work and my cover letter showed what I wanted.
At this point in my writing experience I am able to send better memos, e-mails, and am able to document required information for the clients in a more professional aspect. The documentation is in short complete sentences, to the point, and states what is needed without a lot of jargon.
I will walk away from this class with the knowledge of how to use communication skills better, and also how people are treated. I have never been in a situation like the one here with the proposal. I felt cheated and like my work was useless and a waste of time. I worked really hard and then for that information not even to be used was very unfair. But I did learn and probably have always known that some people are immature. And I really do think that is what happened here. I know that I tried my best and gave my all and if it was not used that was beyond my control and after speaking with the instructor that is all I could do.
The tools and items I have learned in this class will help me in the short-term and long-term. Because in my field whether I stay with this company or not I will always work with people where communication skills are necessary to conduct professionalism. And with the way technology is moving so rapidly we have stay focused on communication skills that update daily through the internet or classes. I thank you for this opportunity to attend your class, I truly feel you are an excellent instructor and very much liked your way of teaching.

The purpose of this memo is to present my concerns over the repeated attempt Ms. Ponds has made in keeping all employees from using the photocopy machine for personal purpose, and come to a solution to improve the copy machine situation.

Summary
In general, I was informed of the repeated attempt Ms. Ponds has made to all the employees at Koller Construction Company to refrain from using the photocopy machine for personal copies. Since Ms. Ponds’ requirement was not well followed, our company has the problem of over budget for several hundred dollars each month for the copy machine. To resolve this problem, I have to introduce a new plan/policy for the use of copy machine.

Discussion
Ms. Ponds is in charge of monitoring the copy budget, yet it is consistently over by several hundred dollars. The amount of copies being made for personal use is unreasonable and unnecessary to be done at a place of business. Because the use of the photocopy has been abused there will be a new plan/policy introduced to resolve this problem.

Recommendation/Conclusion
As the Assistant Personal Manager, I have come up with a solution to continue using the photocopy machine for personal copies and staying within the budget.
The accounting department has set up an account for each employee. When using the photocopy machine, you will enter your code provided by the accounting department. This will allow you to make the copies needed and a 10cents fee will be withdrawn from your account. You will be required to sign a permission letter allowing the accounting department to withdraw $10 from your payroll monthly. The $10 is for photocopies only. If this amount is not used within that month, it will roll over to the next month. Another $10 will not be withdrawn from your payroll until that has been used. If this letter of permission is not signed then the photocopy machine will not be accessible to you. If business copies are needed they will be turned in to the Supervisor’s receptionist; she will take care of those copies.

1. What is the identified problem that the sample proposal deals with? It deals with a change needed for the way they are storing material.
2. Do the writers of the sample proposal declare what they are proposing directly in their introduction? Yes, they right into the problem and how it can be solved.
3. How do the writers of the sample proposal describe the Statement of the Problem? They go into explaining how the audio tapes are obsolete and the great need for change to CDs. Do they integrate both their primary and secondary research data to frame the problem? They began research with a survey and followed up with articles related to the use of CDs and the importance. Are you convinced that there is an urgent need to solve this problem after you read this section of their proposal? Yes, no one really have audiotapes anymore and if they do it is difficult to use them because the equipment is no longer there.
4. How do the writers of the sample proposal propose their solution to the problem? They would like to transfer current audio tapes to CD so that they may still be used. Do they discuss the benefits of the solution in detail? Yes, they explain how they should be downloaded and not only to CD but to MP3 and how it the students or users would benefit by using them in their vehicles. Are you convinced that the solution is really effective? Yes. Why or why not? because they will make it more convenient to use outside of the University. They may not be able to go to the University and this way it can be used at home or in their vehicle.
5. Do you think that their method to put the solution into effect is effective? Yes because I think what makes it effective is the percentage shown in the survey done. What do you learn for your group's method after reading this section ( the method) of the sample proposal)? Survey information goes a long way especially if you have the correct information and is presented well.
6. How do the writers of the sample proposal try to show that they are qualified for doing this proposal? By giving a brief detailed summary of their background and qualifications.
7. What are things in this sample proposal that impress you most? The survey and the research done was very impressive.
8. What are the aspects in this sample proposal you might want to do them differently? I don’t think there is much to do differently. The survey was very detailed and gave sufficient information.

Assignment Reflection
This particular recipe is easy and quick to make. That is one of the reasons why this recipe made me feel that this was the topic that would function more successfully as an instruction set. It doesn’t involve a lot of materials or tools, is fairly safe, and the clean up is quick as well. I first became aware of this recipe at a baby shower for a friend. Her mother had made it and served it with Ritz crackers. It went over really well, we all enjoyed it and before the shower was over she had given the recipe to several of us ladies there. The first time I made it was also for a baby shower for my sister-in-law. And needless to say it was a great success and several ladies asked for the recipe as well. My sister-in-law and I planned a get together for the family and in distributing who was going to bring what; she wanted me to make this salad. And of course that was the first thing gone.
There are not a lot of visual designs in this assignment, because I found it hard to find anything that would match the instructions. The audience is influenced by this instruction set by the fact that the words and description within the steps make it sound so good. The conclusion is inviting to where it makes the audience want to go try it with a glass of ice tea.
The goals completed in this assignment were that this instruction set created technical documents that solve problems and improve situations through communication. It improves situations by helping the audience understand by the chronological steps used. The instruction set was meant to design a convincing and usable document. The instruction set convinces the audience to make the salad, therefore, making it a usable document. This instruction set is made to be used by all audiences effectively.

Making the Perfect Pasta Salad
Introduction

The purpose of these instructions is to inform you how to make a chicken pasta salad. This salad is great for bridal showers, baby showers, or family get-togethers.

Materials and Tools

1 cup Shell Pasta
1 green Bell Pepper, chopped
2 small tubs of Cherry Tomatoes
1 large can of Swanson’s White Chicken Chunks
2/3 cup of Miracle Whip
1 box of Garlic Herb Crackers
Large Pot
Large Bowl
Large Spoon and Fork
Cutting Board
Knife

Safety Information

Be sure the knife is handled properly.
Do not look directly into pot of boiling water.


Steps

Step 1: In a large pot of salted boiling water, cook pasta until done.

Step 2: Rinse the pasta under cold water and drain; set aside.

Step 3: Using the knife and a cutting board begin chopping the bell pepper.

Step 4: Wash off cutting board and with a fork separate the chunks of chicken.

Step 5: Wash the cherry tomatoes.

Step 6: In a large bowl, combine the pasta, chicken, bell pepper, and the cherry tomatoes.

Step 7: Stir in the Miracle Whip a little at a time. Toss ingredients so that they are thouroughly coated with the Miracle Whip.

Note: Continue adding Miracle Whip until the you have the desired taste.

Step 8: Chill for one hour before serving.

Step 9: Serve with Garlic Herb Crackers.

Conclusion

Now that the salad is completed, sit back and enjoy this delicious salad with friends and a large glass of ice tea.

Short Reflection:
One important point in writing an effective technical document is the positive language. At my job when the supervisors send memos, they always emphasize the positive side of things as well as giving short polite instructions within the memo. When I reply to an email I always try to use short simple sentences. The one on the other end does not have time to look at a story of sorts. We need to get to the point and get the message across. It is always wise to summarize and proofread what has been written before it is forwarded.
Practice Paragraph:
In sending an e-mail: The center has completed the Immunizations process for the children. Our next step in completing the 45-day checklist is the Physicals and Dentals. We will begin to look over the children required to get a physical as well as the dentals and forward the information to your office.

Class Activity 13-Sample Instructions

The instructions I am analyzing is How to Change a Tire. The audience is for anyone who operates a vehicle and travel alone who may need to know how to change a tire. The purpose of this set of instructions is to help change a tire successfully and safely.
The design of the guide shows several visuals to help guide you through the process and it groups in chronological order as to what to do first and what tools will be needed first. It does not show a lot of repetition, what does help get from one point to the next is the visual graphics. For example it shows the lady removing the tire, putting the spare tire on, and lowering the car.
I think there is enough information in each step. It seems like there is a lot but for someone like me that has never changed a tire, the information is needed and enough to get the task done. For instance, in removing the hubcaps in order to be able to remove the lug nuts; it tells how some vehicles have the lug nuts behind the hubcaps.
This instruction guide uses complete sentences which make the instructions easier to understand. The effect the language creates enables one to find the job easier to do.
The basic structure for the instruction set was used: the title was in bold color bigger font size than the other words so that caught the attention of the reader. There was a short introduction as to how this could help then goes into how to be safe and pull off the road in a safe way. It does list the materials needed and lists the steps in a chronological order and in the conclusion congratulates the reader in completing the job.
I didn’t see that there were any weaknesses of the instruction set, they were very self explanatory and easy to use. I don’t think there should be any improvements.

Class Activity 11-Brochure

The audience for this brochure is the students and the faculty. The purpose of the brochure is not only to educate but make them aware of the policies.
The designers grouped the information according to importance. The brochure was aligned in a manner that would help the reader identify the different levels of importance in the information. The designers however, had no visual designs which did not seem to be important. Each section had a boldface heading and the information was given in a manner to be able to be understood.
Some redesigning recommendations maybe use plain white paper instead of color paper for the brochure. Other than that the brochure was very well designed.

Assignment Reflection
The approach used was similar to work-related experiences. I have worked in retail for several years and I feel that enabled me to better respond to the letter and the memo. They were both firm and demands were made but thoroughly explained. In writing the adjustment letter I considered the simple demand the customer made and replied firmly but not threatening. He knew what he wanted and the company knew what they needed to do to fix the problem. In this letter I wrote it as the demand could not be met because the advertisement was misunderstood, but also explained some options and an offer. This should help the customer decide what step needs to be taken next. If at all possible in situations like this demands are either met or they are not.
The purpose of the letter was to get the demand across and maybe try to solve or find a solution for the problem. The audience was a one-on-one with the adjustment letter, so the demand was stated and the solution was made just as easily. As for the memo letter it involved a group, so a solution had to be developed and then enforced.
One course goal this adjustment letter and memo do was that these documents were created to solve the problems that both these companies had, and improve situations. That goal was accomplished in both; more so in the memo letter than in the adjustment letter. In the adjustment letter he could choose not to take the offer and stay with what he has or take the merchandise back for a full refund if possible. In the memo letter the solution was made and that is how it was going to be handled. So the problems were solved and the solutions improved the situations of both the letter and the memo.

This particular article helps a lot. Many businesses including our agency have gone to communicating with their employees through e-mail. We use our company phones for travel only. We send memos, reminders, invitations, proposals, and flyers. We use attachment a lot.
When being interviewed for a position, they are asked how familiar they are with emailing. And often offer some quick training. It is very important that everyone is somewhat familiar with the ins and outs of email.
Rules are necessary for the supervisors to keep the upper hand on these emails. If something inappropriate is being sent, they put a stop to it immediately. A major rule used is the usage of communicating well. Record keeping may also be obtained for back tracking memos or schedules sent. One can either make a new folder or in our case are required to print these emails and keep on file by month. In any case as important as the cell phone is to me so is e-mail.

The purpose of this letter is to present the strengths and weaknesses of the claim letter in exercise 5.

Summary
In general, the letter was very short and to the point and also very informal and not professional at all. I don’t feel that the situation could have been seen from a professional view.
Discussion
As stated in the adjustment letter they do explain hygiene and the process of cleaning the tuna, but yet at the same time don’t feel he is telling the truth but offer discount on next purchase anyway.
Recommendation
The introduction to the claim letter should have been at least three sentences, should have listed or proposed what he wanted done instead of asking what was going to be done about the situation. The fly attached to the letter was unnecessary.

Characteristics of Culture-Article I
Culture has several definitions; one is that it is a set of learned behaviors, beliefs, values, attitudes, and practices that is passed from generation to generation. Another is somewhat similar, it is explained as a set of interrelated behaviors, beliefs, values, attitudes, and practices that is transmitted or communicated from generation to generation which is more or less the same.
As explained in the article on page 2, cultures are learned but I don’t think it changes much as described on page 3 and 4. I think it is more of an adaptation than a change. In our own culture, growing up I don’t feel that our culture has much change or adaptation for that matter. On page 4 the article talks about people not being aware of their culture, I don’t think all that is true. In our culture, elders make sure we learn study and practice our culture as a step to help future generations.
Ethnocentrism is an orientation or set beliefs that holds one’s own culture, ethnic or racial group, or nation is superior to others. It leads members of ethnic groups to view their culture as the one that other cultures should adopt. It also leads to prejudice against foreigners who are viewed as barbarians, uncultured people, or savages. It has been a factor leading to some of the worst atrocities in history. Ethnocentric beliefs sometimes bring interacting nations to wars and serve as justifications for foreign conquests.
Ethnocentrism as explained on page 5 does prevent us from understanding other cultures. Such as the Muslim culture; we are such a free world that we as women don’t understand or appreciate their ways of treating women.
This was a good article but it contradicts other articles I have read or researched on culture. Culture is something we really study on in the social work field. I would like and will look this article up for further comparison and discussion.

Cultural Dimensions-Article II
This article discusses the dimensions of culture and how it affects user interface designs. It explains how color between cultures can become an issue. In some cultures colors are sacred and can be different from another culture. So it is very important to know that when designing for a certain country.
Hofstede identifies five dimensions of culture: power-distance, collectivism vs. individualism, femininity vs. masculinity, uncertainty avoidance, and long- vs. short-term orientation. Hofstede goes into detail of each dimension in explaining the implications of user-interface and web design.

1- What is an online portfolio? An online portfolio can begin as an electronic version of a hardcopy portfolio. The World Wide Web is used to display and distribute our work.
2- What are the differences between online and paper portfolios? A major difference between an online and a paper portfolio is that an online portfolio can be reviewed at any time whether we are there or not.
3- Please list two advantages and disadvantages of online portfolio. One advantage of an online portfolio is that it demonstrates the technical proficiency of its creator. Another advantage is that online portfolios are easier to distribute to many people. A disadvantage is that because online portfolios have a wider distribution, files could be stolen or altered by anyone unless encryption technology is used. Another disadvantage is that online portfolios require specific software and online design skills that not every professional have.
4- In what ways can you use certain visual styles to help you do a good job in your online portfolio? The interface id designed so that users will either already know how to navigate it or it provides users with ways of learning and adapting to the new interface.
5- In what ways can you use language styles to help you do a good job in your online portfolio? Using first person allows short and direct descriptions of the pieces’ histories as well as reminding the evaluators of your active role in the work.

Three different organizational patterns/structures found in the document were chronological, general to specific, and cause and effect. Chapter 1 states the order in which the events occurred and then goes right into what is general and the more specific and then of course what the cause and effect.
It shows chronological order by stating that the “north tower was struck between floors 94 and 98, with the impact roughly centered on the north face. The south tower was hit between floors 78 and 84 toward the east side of the south face.” The following statement shows the cause and effect: “Each plane banked steeply as it was flown into the building, causing damage across multiple floors. According to Government sources, the speed of impact into the north tower was estimated to be 410 knots, or 470 miles per hour (mph), and the speed of impact into the south tower was estimated to be 510 knots, or 590 mph.

Homework #1

Although college does teach us real-world skills, it is often hard to find the right place of employment that does fit the skills learned. Or perhaps are even over-qualified. For example, my major is social work and the position I have at my place of business does not require a degree. Although in the long run my degree will get me more money, in reality I didn’t need the degree. The only thing my employer looked for in hiring is how the interview is handled. They also look to see if the questions are answered thoroughly and if any questions are asked. The
interview isn’t very hard but it is intimidating at times. The position requires a lot of hands on between the support worker and the client. So I guess in a way if one does well in the interview then they may be able to handle themselves with the client.
So in regards to the first article on the skills the employer wants, the six points were touched in the interview. Critical thinking was used to interpret a situation and what would be done. Communication is needed in the client worker role and between team lead monitors and the supervisors, probably one of the most important skills used on a daily basis. Visionary qualities are as important as communication, because the parents are required to set goals for their children. Self-motivation is also a plus in this company; we have to take an initiative and make sure that the children have the required information needed such as immunizations, dental, and physicals. Globally-minded is a very big point in our business because we deal with different cultures. And teamwork is one way that all of our goals are achieved. The job can not be completed unless everyone is on board.

What is Technical Writing?

In general, technical writing is a way of communication for not only professionals but everyone that uses writing on a day to day basis. Technical writing can go from business letters or memos to shipping invoices of products being shipped overseas to a grocery list. Even something as simple as a grocery list, these items must be communicated to the person as to what is needed. As well as for the shipping invoice, it needs to be written properly in order what the products to be shipped correctly. And in a business memo it could be as simple as letting everyone know about a party or a budget cut. However the situation occurs technical writing is part of everyday communication that is more and more important as the computer is more widely used. So technical writing may not be used to write on paper such as from my time in high school. I had to learn how to use the computer for research, writing the paper, and e-mailing to the instructor.
So in conclusion, technical writing is a very important tool in our everyday lives whether it be via computer or hand written.

1. Discuss your major and how you plan to transfer the skills you learn at LCU to your desired career.
I am a Social Work major and I am at the present time using some of the skills already obtained at LCU in my current job. I am a Family Support Worker and am currently working with children and find it very rewarding. So I don’t know if I would like to change jobs later, but this is where I am happy at now and use several of my skills.
2. Describe the types of writing you will (or think you will) do in your career.
As a Family Support Worker I use e-mail daily and write contact notes to the parent on a constant basis. I also go to several meetings monthly that require taking down the minutes as well as notes for future use.
Why will you write on the job? The job is federally and government funded so it requires a lot of documentation
For whom will you write? We write e-mails or memos to our program director, team lead monitor, health assistant, and other personnel.
What types of global or multicultural audiences can you expect? We have several multicultural audiences. The majority of our clients are migrant workers, low-income families, or just families that have come here from other countries as well as from the Katrina Flood.
